AppFolio Tutorials - Ep. 7 When a credit does not properly apply to a charge

Hello everyone, and welcome back to APM Academy. In today’s video, we’ll review what happens when a tenant transfer leaves a credit that does not automatically apply to a charge.

Background

Previously, we transferred Bilbo Baggins and Frodo Baggins from The Shire Outlook Apartment to Rivendell Apartments, Unit 1.

  • The deposit moved successfully between properties.
  • Rent payments were also transferred between properties sharing the same bank account.

Sometimes, however, a portion of the deposit or credit may remain unapplied, resulting in a non-zero clearing account balance.

Applying Remaining Credits

Example: Rivendell Apartments shows a $1,500 leftover deposit after the tenant transfer.

To apply the remaining credit:

  1. Click on the unapplied balance — this opens the Apply Credit screen.
  2. Enter the amount to apply from the leftover deposit.
  3. Ensure the amount remaining reaches zero and that the green check mark appears.
  4. Click Save.

This action links the remaining credit to the appropriate charge. Some AppFolio users call this a “ZDR” (Zero-Dollar Receipt).

Confirming the Credit

  1. Go back to the Diagnostics page.
  2. Click Refresh.
  3. The unapplied credit should now be cleared, and your account is balanced.

This completes the process for applying remaining credits after a tenant transfer.
