AppFolio Tutorials - Ep. 2 How to enter a new ownership entity

Hello everyone, and welcome to APM Academy. In today’s video, we’re going to go over how to enter a new ownership entity or a new owner in AppFolio.

To start, there are a couple of ways to do this:

  • From your dashboard, click New Owner in the task panel on the right-hand side and enter the information there.
  • Or, from the dashboard, go to People → Owners → New Owner.

For today’s example, we’ll create a sample owner named Smog Real Estate.

Contact Information

Here is where you’ll fill out the owner’s contact information, including:

  • Phone number
  • Email
  • Forwarding address

Tax Information (Important for 1099 Season)

This section is very important for 1099 reporting. You’ll need to enter:

  • Taxpayer name
  • Taxpayer ID
  • Whether they should receive a 1099

In most cases, you will check Send 1099, since it is your legal obligation at the end of the year to report the total income collected for the owner.

Accounting Information

Under the accounting settings, you can choose:

  • Whether the owner sees a breakdown of bills
  • Whether to hold payments (for example, if the unit isn’t rented yet)
  • The default check memo (commonly set to “Owner Draw”)

Owner Payment Method (Banking / eCheck)

This section determines whether you will use online payables for the owner.

Most owners prefer to be paid electronically. Here you’ll enter:

  • Bank routing number
  • Bank account number

Once entered, the owner becomes eligible for eCheck payments, allowing you to pay them seamlessly through AppFolio.

Owner Statement (Enhanced)

This is the default owner statement report sent out each period. You can customize it to include:

  • Tenant names
  • Transaction details (descriptions for each transaction)
  • Unpaid bill details
  • Separation of management fees from other cash expenses

Owner Packet (Optional Reports)

The Owner Packet can be configured to send automatically with every owner statement.

This is useful for owners who want more detailed financial reporting, such as:

  • Income statements
  • Cash flow reports
  • Balance sheets

You can choose to send the packet via email and select exactly which reports should be included. These selections will be applied every time an owner packet is sent.

Maintenance Information

The maintenance section is for owner-specific notes, such as:

  • How they prefer maintenance to be handled
  • Any special instructions or preferences

Once you’ve entered all the information, scroll down and click Save.
